Send an email campaign to every new lead

Applications Used: Salesforce and Campaign Monitor

Description

A lead in Salesforce can be anyone from a potential customer to a partner. In order to qualify the lead or prospect the lead further so that it converts/generates into an opportunity or a customer account, it can be pulled into existing/new email campaigns by Sales/Marketing teams. Also, if the score of lead changes, more customized email campaigns can be sent.

This workflow uses Campaign Monitor activities such as Add Subscriber, Create Campaign, and Send Campaign, along with the Salesforce event Lead created.

Building the workflow

Note: This is a tutorial explaining how to build the Send an email campaign to every new lead template from Studio Web. You can use the already existing template right away when creating a new project in Studio Web.
  1. Open Studio Web and create a new project. In the How to start the automation field, select Event based. You are presented with a window that enables you to search for the trigger you want to start the automation with. Navigate to Salesforce > Lead Created.
  2. Configure the Lead Created activity as follows:
    1. Set up your Salesforce connection.
    2. Add any additional filter, if needed.
    3. If applicable, rename the trigger activity to any name that suits your use case.


  3. Add an Add Subscriber activity to your workflow. At this step, you must pass the output of the previous Trigger activity as an input to this activity, in order to add the subscriber details. In the activity:

    1. Configure the Client propety by selecting the Client/Account you want to use from the drop-down menu.
    2. Configure the List property by selecting the subscription list you want to use from the drop-down menu.
    3. Configure the Email address property field by searching for the email you want to use. Add the same address in the Lead Created property field.
    4. Select the appropriate option under the Consent property field.
    5. Click on the Name input parameter and search for the name you want to use.
    6. Any additional options can also be configured, if needed.


  4. Add a new Create Campaign activity to your workflow. At this step, you want to create a customized campaign for the subscriber you added in the previous step. In the activity:

    1. Configure the Client propety by selecting the Client/Account you want to use from the drop-down menu.
    2. Type custom text for Name, Subject, Sender name, Sender email, Reply to input parameters.
    3. Pass your proprietary HTML content URL in the HTML URL input parameter.
    4. Click on the List input parameter and select the same subscription list from the dropdown where the subscriber got added in the previous step.
  5. Add the Send Campaign activity to your workflow. At this step, you want to pass the output from the previous Trigger activity as input for adding the subscriber details. In the activity:
    1. Configure the Client propety by selecting the Client/Account you want to use from the drop-down menu.
    2. Click the See more button on the right side of the Campaign input parameter and select Use variable. Select Campaign ID under Create Campaign.
    3. Pass your respective one or more emails in the Confirmation email input parameter
    4. Click on the Send date input parameter and select the appropriate date when you want to schedule send the campaign

  6. You are now ready to publish or run the project. For publishing, click on Publish button at the top of the workflow and configure the details. The version will be automatically loaded for the automation
